Getting more from HubSpot

1

Complete the AI setup

Foundations
What it could do

HubSpot's AI works from the business context it is given. We would review what is already there and fill the gaps, then check what HubSpot generates so it isn't relying on your website alone. This gives campaign planning and content better context.

What it needs

A review of the business profile, products and location-specific information; ideal customer profiles and buyer personas; brand voice, approved terminology and claims; sales qualification criteria and internal processes; and AI permissions, permitted data sources and credit controls.

2

Cleaner HubSpot records

Foundations
What it could do

Tidies the left panel, right panel and centre of records, so people see what matters without scrolling or searching.

What it needs

Agreement on what each team needs to see on a record.

3

Event bookings

Marketing
What it could do

Where are event bookings done at the moment? Bringing them into HubSpot as deals, through a periodic import or Make, would give marketing better lists.

What it needs

Confirming where bookings are taken today, then choosing between a periodic import and Make.

4

Plaud notetaker to Claude to HubSpot

Sales
What it could do

A Plaud notetaker records in-person conversations, such as tours and meetings. Claude then takes the notes from Plaud into the right HubSpot record, so these conversations are captured as well as calls.

What it needs

Plaud notetakers for the people running these conversations, and the flow from Plaud through Claude to HubSpot set up. Agreement on consent to record, and someone checking the notes before they go on the record.

5

Smart deal progression

Sales
What it could do

Recommends next actions, drafts deal emails and suggests deal property updates, using meeting transcripts and synced email.

What it needs

The relevant paid seat. Calls and meetings transcribed through HubSpot, Google Meet, Teams or Zoom, as it doesn't read call notes. Some advanced features need beta access, and custom property updates can use credits.

6

Data Agent smart properties

Sales
What it could do

Pulls key details from logged emails, calls, transcripts and notes into fields, so there is less manual data input and the team checks the details rather than entering them. Fields to test: location and desk requirements, stated move-in timing, main objections or reasons for delay, decision criteria, agreed next steps, missing qualification information and company fit.

What it needs

Activity logged against the record, source settings and credits. We would test accuracy before letting it overwrite trusted qualification information.

7

Buying groups with Breeze

Sales
What it could do

Shows the people involved in a deal as a visual org chart. Breeze uses meetings, emails, call transcripts and notes to build the group, flag who is missing, including people mentioned on a call but not yet in HubSpot, find possible blockers and show where a deal relies on one contact. This helps when an office decision involves several people.

What it needs

A Sales or Service seat to create and edit them, and the buying groups card added to the record layout.

8

Email quality checks (beta)

Marketing
What it could do

Reviews a marketing email in the editor before it goes out: spam risk, grammar, whether it makes sense as a whole, brand voice and how well personalisation tokens will fill. Results show as errors, warnings and suggestions, and many have a one-click fix.

What it needs

Beta access, and the checks turned on in settings. Currently for batch marketing email sends. The brand voice check draws on the AI setup above.

9

Daily enquiry triage

Sales
What it could do

Would this be useful, or do you already do something like it with Claude? A custom agent could summarise priority enquiries, missing information and recommended follow-ups.

What it needs

If it would be useful, a custom agent set up in Agent Hub.

10

Buyer Intent + Apollo + Prospecting Agent

New business
What it could do

Buying intent signals help prioritise relevant companies. The Apollo account you already have can find or enrich the right contacts. Prospecting Agent then helps with personalised outreach.

What it needs

Apollo connected to this process. Contacts qualified and checked for duplicates in HubSpot. Human review of outreach to begin with.

11

Buyer Intent signal tracking + job changes (beta)

New business
What it could do

Tracks signals across your tracked companies. Job change signals by UserGems add a second source to HubSpot's own, showing when a contact starts or leaves a role, on the contact record and company timeline. They work in the same workflows, segments and lead scoring as HubSpot's own job change signals.

What it needs

HubSpot Credits and beta access. Your tracked companies set up in Buyer Intent. No UserGems account is needed.

12

Lookalike segments and audiences

Marketing
What it could do

Uses a strong group, such as suitable won members, to identify similar contacts already in the CRM (segments) and to reach similar new people through advertising platforms (audiences).

What it needs

A strong starting group of members. For audiences, ad accounts connected to HubSpot.

13

Nurture Agent

Marketing
What it could do

Personalises text in existing, published automated marketing emails using supported CRM information.

What it needs

A defined journey and original emails, as it builds on these rather than replacing them. A pilot on a suitable nurture, with pricing and compliance sections protected.

14

Surveys with follow-through

Members
What it could do

Post-tour, onboarding and ongoing member feedback. The bigger opportunity is what happens next: an owner for poor feedback, tracked resolution and themes compared across locations.

What it needs

The appropriate Service seat and permissions.

15

Renewal briefing

Members
What it could do

Would this be useful, or do you already do something like it with Claude? A custom agent could bring together membership context, recent issues and potential expansion discussion points.

What it needs

If it would be useful, a custom agent set up in Agent Hub, and this data available in HubSpot.

16

Marketing Studio

Marketing
What it could do

Worth knowing about: the HubSpot workspace for building and coordinating campaigns.

What it needs

Nothing for now.

17

Campaign Agent

Marketing
What it could do

Helps turn a goal into a campaign plan, messaging and connected assets.

What it needs

A campaign goal to start from.

18

Customer Agent

Members
What it could do

Answers location-specific FAQs and straightforward questions, with easy handoff to a person. It supports the Member Experience team rather than replacing the human relationship.

What it needs

Good source content, testing, channel setup and credits.

19

Review Make.com processes

Operations
What it could do

Lower priority and higher effort. It would include a feasibility assessment of the Google Sheets-triggered commission process.

What it needs

Mapping what change starts it, where commission rules and calculations live, which HubSpot records need updating, and how approvals, updates, duplicates and audit trails are handled.
